A successful payment is not the same as money available in your bank. Settlement makes funds eligible for payout, a payout sends them onward, and a refund or chargeback can reduce balances later. Keep these events separate when planning salaries, suppliers and customer support.

Payment authorization, capture, balance availability, payout initiation and bank receipt are separate milestones. The provider's definition of T in T+X matters. Confirm whether X means business days or calendar days, which time zone and cutoff apply, and how public holidays are handled. A daily payout schedule describes frequency; it does not promise that every sale becomes usable the next day. A bank may add processing time after a payout is sent.
| Event | Meaning | Record to keep |
|---|---|---|
| Settlement availability | Funds move from pending to available under the provider's rules | Available date and balance entry |
| Payout | Provider sends available funds toward your bank | Payout identifier and bank match |
| Refund | Merchant requests money be returned to the customer | Refund status and reference |
| Chargeback | Cardholder challenges a payment through the issuer | Reason, evidence deadline and outcome |
| Reserve hold | Some funds are temporarily restricted | Hold base, release terms and deductions |
A refund is usually initiated by the merchant. Creating a refund request does not necessarily mean the customer has already received it. Insufficient available funds, payment method rules or bank processing can affect progress. Give the customer the supported tracking reference and a status grounded in the provider's documentation.
A chargeback is a dispute initiated through the card issuer. The disputed amount and applicable fees can be debited while the case is considered. Response deadlines and evidence requirements matter even if a customer has also contacted your support team. Do not send a second refund simply to make the issue disappear: check the existing refund and dispute state first to avoid returning the same amount twice.
For an invented example, start with an available balance of 2,000 units. A 300 refund and a 200 disputed payment plus a hypothetical 20 dispute fee leave 1,480 units before other movements. If another 500 units are pending settlement, do not count them as available. If 400 are held in reserve, record that restriction separately and verify whether the agreement permits it to cover liabilities. A reserve hold itself is not automatically an expense; actual deductions need their own classification.
The starting available balance of 2,000 already excludes the separately held 400 reserve. Do not subtract that 400 again unless a new hold is created from the available balance.
No. Frequency and balance availability answer different questions. Check both, then check bank receipt.
Not necessarily. Fee treatment depends on the provider, contract and dispute process. Obtain the exact applicable rules in writing.
This guide explains a decision process, not a recommendation of a provider or an investment. Products, fees, eligibility, tax treatment and consumer protections differ by country and can change. Confirm the current contract and official documentation that apply to your own account. Keep dated copies of the terms and written responses. Reviews can help you identify questions, but a positive review does not establish solvency, security or suitability. Never share passwords, private keys or recovery phrases when seeking help.
